Job Description

Function (Scope and Main Purpose of Job)

The Executive Assistant & Office Manager III is responsible for providing full service executive administrative support to the General Manager and the senior executive management team at Live! Casino & Hotel while providing direct/indirect supervisory and work direction to executive office administrative team as well as the property’s departmental administrative staff team members. The Executive Assistant/Office Manager will coordinate all office services, assist with budget preparation, reporting and control.

Specific Responsibilities and Duties

  • Provide administrative support to the General Manager and the senior executive management team to include answering multiple phone lines, routing calls, composing general correspondences, opening/distributing mail, maintain document files/filing, managing daily schedule, and on taking notes/minutes at meetings.
  • Coordinating heavy travel arrangements (domestic & international).
  • Set up and coordinate meetings for the General Manager and other members of the executive team which may include room set up of audio visual equipment, conference phones, and ordering refreshments.
  • Provide work direction with regards to scheduling, work load, coverage, and the day to day routine/duties of the administrative assistant staff consisting of 10 admins.
  • Responsible for the management and efficient operation of executive office equipment to include but not limited to phones, copiers, smart phones/tablets and personal computers.
  • Coordinate preparation, collection and management of budget, operating reports and other statistical records with the executive office and outside sources as directed by the General Manager.
  • Research and analyze data to support General Manager sponsored/related projects and initiatives.
  • Track time and attendance records for the property’s administrative staff.
  • Layout, plan, organize, and execute all office layout moves and ordering of office furniture.
  • Planning and organizing executive team outings, activities, and receptions.
  • Serve as backup to Corporate Executive Assistant Office Manager.
  • Other duties as assigned.

Responsibilities

Job Requirements (skills, knowledge, and abilities)

  • Must be proficient in the use of modern office equipment and software packages inclusive of but not limited to Personal Computers, Microsoft Office, Power Point and Excel.
  • Ability to analyze and interpret department needs and results
  • Ability to recognize, manage and solve complex issues/problems
  • Ability to perform assigned duties under frequent time pressures in an interruptive environment.
  • Ability to maintain mental concentration for extended periods of time.

Educational Requirements

  • Five (5) to Eight (8) years of experience in a professional office environment supporting a C-level executive.
  • Two (2) year associates degree in secretarial science/office management or a combination of experience and education in an equivalent field.
  • Must be able to comply with all state gaming regulations, which may include obtaining a license.

Physical Requirements

  • Ability to work an irregular schedule as necessary.
  • Ability to sit (75%), stand/walk (25%).
  • Ability to walk up and down stairs to/from the casino floor.
  • Ability to work in a smoking environment.
  • Constantly viewing computer screen for hours throughout work day.

Working Conditions

  • 24/7 high energy casino with over 300,000 sq. ft of gaming and entertainment space and approximately 3000 employees
  • Exposed to alcohol, cigarette and cigar smoke, bright lights, and loud noises.
